What you can do
Close the event from attendance and payment evidence
Finance Reviewer examines provider payment events alongside admitted attendance. Payment evidence distinguishes Authorization, Capture, Refund and Void, and retains the provider’s event identifier and reference. The verification result identifies evidence checked through the agreed provider verification process before the team relies on it during closure.
Event Coordinator closes the event after it has happened and reconciles admitted attendance against verified payment evidence. Cancellation has a different effect: it revokes unused reserved scope while preserving admitted history. Captured funds cannot be described as refunded merely because an event was canceled or a local correction was requested.
How the work is organized
- Payment inspection. Finance Reviewer checks the provider event type, USD amount and reference. An authorization and a capture describe different financial events; a refund needs its own provider-backed evidence.
- Event close. Event Coordinator uses the guarded close action after the event happened. The action checks its operation identity, event, expected revision and lifecycle before completing eligible closure.
- Cancellation and correction. The coordinator follows the authorized cancellation or compensating path for the affected scope. Admitted history remains intact, and unresolved refund questions remain marked Needs review until provider evidence supports their resolution.
What to agree during setup
Agree the payment provider and the verification process for its events. Define how provider references are matched to the admissions being reconciled and how USD amounts are interpreted. The club’s organization currency is context; settle the actual payment amount basis before the first paid event.
Set the responsibility for investigating a missing capture or disputed refund. Finance Reviewer examines evidence, while the authorized provider process supplies verification and any financial effect. Decide how Event Coordinator communicates a cancellation while keeping the payment outcome distinct from the event status change.
Check the handoff on an actual case
Rehearse a paid event with reserved and admitted places. Finance Reviewer checks the admitted quantity and provider evidence, distinguishing an Authorization from a verified Capture. Event Coordinator then requests closure after the event has happened and inspects the recorded result.
Use a separate cancellation case that includes an admitted attendee and an unused reservation. Confirm that the cancellation preserves the admitted history and revokes only the unused reserved scope. Keep a refund question unresolved until a provider-backed Refund event supports it. Finally, rehearse a correction to executed scope that needs Independent Reviewer approval, and check that the compensating path retains the earlier admission and payment evidence for audit.
What your team sees
- Unverified Payment Evidence — Provider events that still need verification before they support a financial conclusion.
- Verified Payment Evidence — Verified provider events with their type, USD amount and reference for reconciliation.
