Approve the learner's enrollment

Check eligibility, course readiness and available capacity before activating the enrollment used by the scholarship team.

Step by step

  1. Identify the learner and course Administrator

Administrator locates the learner by their number and name, then selects the intended course. Review admission and course context before preparing the enrollment request. A learner with another course place still needs the correct link for this request.

    • Correct identities and course context are selected
    • Updates Learners, Courses
  2. Prepare the request Administrator

Administrator records the enrollment in Requested with the learner and course references. Check existing enrollments so the approval discussion starts with the actual course-place position rather than an assumed new learner.

    • Requested enrollment links the learner and course
    • Updates Enrollments
  3. Approve the eligible place Administrator

Administrator approves the request after learner eligibility, course state, capacity and duplicate checks. A valid action activates the enrollment and sets the learner Enrolled. A failed prerequisite must be resolved before the place is committed.

    • Valid approval activates enrollment and sets the learner Enrolled
    • Updates Enrollments, Learners, Courses
ApprovalA person approves before the work moves on.
  4. Review the teaching handoff Administrator

Administrator checks the course's returned class sessions and the resulting enrollment. Instructor can identify the learner's course context, and Scholarship Officer can use the correct enrollment when preparing an award.

    • Course sessions and enrollment support the next handoff
    • Updates Class sessions, Enrollments, Scholarship awards
  5. Resolve exceptions Administrator

Administrator explains a duplicate request, full course or ineligible course state to the responsible team. Correct the underlying choice or operating condition instead of creating another learner record to avoid the decision.

    • Failed prerequisites are addressed before retry
    • Updates Enrollments, Courses, Learners

Where it usually breaks

And how to keep it from happening.

  • The same learner and course already have an enrollment. Resolve the existing record before another request is approved.
  • The course has no remaining capacity under the agreed counting rule. Review the place allocation before promising enrollment.
  • An award is prepared against a different course place. Compare the linked enrollment with the learner's intended scholarship context.
