Reconcile learner fee follow-up

Compare recorded charges and payments with the scholarship context before deciding the learner's next finance action.

Step by step

  1. Identify the charge Finance Officer

Finance Officer selects the learner's fee and reads its description, due date, amount and status. Confirm that the charge still applies before using it in a payment discussion, particularly when older entries remain visible in a due-date list.

    • Correct charge and learner are selected
    • Updates Fees, Learners
  2. Check the payment position Finance Officer

Finance Officer compares the paid amount with the charge and the confirmation maintained by the responsible finance process. Keep partially paid, paid and voided entries distinguishable during the review.

    • Amount, paid amount and current status are compared
    • Updates Fees
  3. Read the scholarship context Finance Officer

Finance Officer checks the learner's application and approved amount. Distinguish an Approved application from one recorded as Disbursed, then confirm whether the operating arrangement applies the support to this charge.

    • Approved support and recorded disbursement are distinguished
    • Updates Scholarship applications, Scholarship awards, Learners
  4. Apply the agreed finance handoff Finance Officer

Where a confirmed payment or scholarship allocation affects the fee, Finance Officer follows the owning finance procedure and records the correct paid amount and status. This step is an agreed operating handoff; the scholarship application transition does not supply the allocation by itself.

    • Confirmed allocation is reconciled under the owning procedure
    • Updates Fees, Scholarship applications
  5. Confirm the next action Finance Officer

Finance Officer explains the remaining amount or completed payment position to the responsible team. Resolve a disputed allocation or a voided charge before requesting further payment from the learner.

    • Remaining follow-up is based on the reconciled charge
    • Updates Fees, Learners

Where it usually breaks

And how to keep it from happening.

  • A past due date is treated as proof that money is still owed. Read paid amount and status before contacting the learner.
  • A Disbursed application is treated as an automatic charge credit. Inspect the explicit allocation handoff.
  • A voided charge remains in a broad date-based list. Keep its state visible and exclude it from active payment follow-up.
