Cross-border distributors
A distributor can compare ordered demand with accepted quantities on each purchase line. The purchase keeps the counterparty, required date and order reference; customs declarations keep the related entry and duty. The Trade Operations Lead checks exceptions across the case.

Choose an order with line quantities that are likely to arrive in parts. The Buyer records the counterparty, required date and requested amount; the Trade Reviewer decides on the current revision. After approval, the Buyer adds the order reference so the Receiving Clerk can find the intended purchase when goods arrive.
On receipt, the Receiving Clerk enters accepted quantity, acceptance date and invoice reference for each line. Compare those values with requested quantities before marking the request Received. A short delivery should remain visible as a difference on the line even after the purchase status changes. The Trade Operations Lead reviews the same case by order reference and supplier.
If customs entry applies, link its declaration to the purchase and organization, then record the external entry number, HS code, duty and filing date. Rehearse a declaration rejection separately from a short receipt: the Customs Coordinator needs the entry evidence, while the Receiving Clerk needs the line and invoice detail. Agree which outside systems supply each reference.
