A procurement team can start with a purchase request, add its lines, then route the current revision to a Trade Reviewer. Review decisions keeps the decision and reason. The Buyer adds the order reference after approval and the Receiving Clerk enters accepted quantities.
Begin with a purchase whose requested amount needs a budget discussion. The Buyer records the budget code, required date, supplier and priced lines. Ask the Trade Reviewer to read the supplier's eligibility note and the current purchase revision before recording Approve, Reject or Return with a reason. The Buyer should see that reason on the same request before revising any line.
Once approved, add an order reference. The Receiving Clerk records accepted quantities and invoice references when goods arrive. Keep those values on purchase lines so the Trade Operations Lead can distinguish approved demand from received goods. Use a supporting attachment when the reviewer needs a supplier document; select Internal or Shared visibility for the actual audience.
Run a second review after changing a requested quantity. The reviewer should identify the changed source revision and record a new decision rather than relying on the earlier one. If this purchase also requires a customs entry, link the declaration to the same purchase and organization. Agree how finance and filing systems supply references to this team.
