What you can do

Claim the right stock

A reservation joins a request to an item, location and optional lot. It records a quantity, expiry date and state. That identity matters when several requests compete for the same lot at the same place. The Stock Operator should look at available stock after active reservations, then create a claim only for eligible quantity.

Active, Released and Consumed describe the reservation’s life. A reservation alone does not change physical on-hand quantity. A posted movement carries the physical effect. Keeping those facts separate lets the team explain why a lot can have stock on hand but less free stock for a new request.

How the work is organized

  • Start from approval. Use an approved request with an item, location and requested units.
  • Check eligibility. Read the lot’s release and expiry and the location decision before claiming it.
  • Keep the claim scoped. Record the exact item, location, lot, quantity and reservation expiry.

What to agree during setup

Agree the unit of measure used for requested and reserved quantity. Require the selected lot on reservations for lot-tracked items so free quantity is checked at that exact lot. Set a policy for claims that reach their expiry date while the request remains open. Also decide who releases a claim after a request is cancelled or corrected, and how that release is recorded.

The team should calculate free quantity from posted signed movements less active claims at the exact item, location and lot. A claim against one lot should not consume availability from another. When two operators act on the same stock, the final claim needs a guarded operation so both cannot reserve the same free units. Rehearse this before using the flow for real stock decisions.

Check the handoff on an actual case

Suppose a Released lot has enough posted stock for one approved request but not for two of the same size. Have the Stock Operator reserve the first request, then try the second. The second should see the remaining free quantity and stop or reduce its claim. Change the lot to Quarantined and check that no new eligible claim can be made. Release the original reservation and confirm that on-hand quantity has not changed. The movement history should still account for the physical stock independently.

What your team sees

  • Active reservations — Current claims with quantity, expiry, request, item, location and lot.
  • Approved stock work — Requests that may need a reservation before movement.
