Fulfillment and Return Review

Confirm stock entitlement, record product handover and keep returned quantities separate from payment outcomes.

Step by step

  1. Review eligible order scope Fulfillment Coordinator

Fulfillment Coordinator checks the accepted order and intended product quantities with Commerce Operator. Resolve the catalog identity behind the line SKU before requesting physical execution.

    • Order quantities and catalog identity are resolved
    • Updates Sales orders, Sales lines, Products
  2. Confirm stock entitlement Fulfillment Coordinator

Fulfillment Coordinator works with the actual stock owner to verify the right to fulfill the selected scope. Resolve a missing entitlement before allocation or handover proceeds.

    • Actual stock owner confirms fulfillment authority
    • Updates Sales orders, Sales lines, Products
  3. Record movement evidence Fulfillment Coordinator

The guarded action records allocation, picking and shipping events with product, quantity and external event identity. Keep those successive stages distinct when reviewing the physical history.

    • Product movements retain quantity and external identity
    • Updates Fulfillment events, Products, Sales orders
  4. Confirm complete handover Fulfillment Coordinator

The order becomes Fulfilled only when every eligible unit has been handed over. Partial handover needs its remaining scope reviewed, with the operation receipt retained for the action.

    • Eligible handover supports Fulfilled status
    • Updates Sales orders, Fulfillment events, Operation receipts
  5. Review a physical return Fulfillment Coordinator

Commerce Operator and Fulfillment Coordinator examine Returned events and the sales lines' returned units. Commerce Reviewer uses that evidence when considering a separate refund request.

    • Returned quantities remain available for the customer review
    • Updates Fulfillment events, Sales lines, Sales orders

Where it usually breaks

And how to keep it from happening.

  • Unresolved stock authority. Product presence in the catalog does not establish the right to allocate another system's stock.
  • Repeated event. A repeated shipping message must not create an additional physical handover quantity.
  • Mixed stages. Adding allocation and shipping quantities together overstates the units being fulfilled.
  • Return mistaken for refund. Keep the physical event and verified provider refund distinct in the customer discussion.
