Refund and Reconciliation

Approve the selected refund scope independently and reconcile the provider outcome before changing collected cash.

Step by step

  1. Prepare the refund context Commerce Operator

Commerce Operator identifies the order and reason for the request. Bring the relevant payment, physical-return and supporting evidence into the review without assuming that a returned garment has already been refunded.

    • Requested scope is supported by order evidence
    • Updates Sales orders, Payment evidence, Fulfillment events, Record attachments
  2. Approve independently Commerce Reviewer

Commerce Reviewer checks the selected order scope and expected version, then records the refund decision. The amount under review should be considered alongside captured and earlier refunded evidence.

    • Reviewer approves the exact refund scope
    • Updates Review decisions, Sales orders, Team members
ApprovalA person approves before the work moves on.
  3. Follow the provider outcome Commerce Operator

The approved request uses its stable refund identity. Record verified Refund evidence and reduce collected cash only after the provider effect is established.

    • Verified refund establishes the cash reduction
    • Updates Payment evidence, Operation receipts, Sales orders
  4. Reconcile an unknown result Commerce Reviewer

Commerce Reviewer reads the existing receipt and local evidence, resolving the recorded external reference against the authoritative identifiers. An unknown outcome remains pending investigation, with discrepancies retained for review.

    • Existing effects are checked before further execution
    • Updates Operation receipts, Payment evidence, Fulfillment events, Record attachments
  5. Handle corrections by execution state Commerce Operator

Unexecuted draft scope can be cancelled through its owner. Commerce Reviewer approves a corrective action for executed scope while preserving the original identity and evidence; external effects are not reversed automatically.

    • Authorized correction preserves executed history
    • Updates Sales orders, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • Unknown response treated as success. A request that reached the provider still needs a confirmed outcome before cash is reduced.
  • Blind repeated refund. Read the existing effect before sending another request that could duplicate the refund.
  • Unrelated reference. An external identifier must match the selected order and action scope before it establishes completion.
  • Deleted executed evidence. A correction needs the original outcome available for review and reconciliation.
