What you can do

Keep the criteria context with the assessment

Case Worker records an applicant’s assessment against a welfare program. The applicant name, assessment date and criteria version identify the context the team used when considering eligibility. Case Worker applies the organization’s agreed criteria and records the outcome through the supported assessment process.

Pending, Eligible, Ineligible and Appealed distinguish the available assessment states. The capture action validates the linked program and flags invalid submissions back to Pending. When an Eligible assessment is captured, it prepares a Planned benefit under that assessment, due 30 days after the assessment date, with its amount left empty for authorized preparation.

How the work is organized

  • Program and criteria. Select the intended program and record the criteria version used for the assessment. A similarly named program or a changed criteria version needs explicit attention before the case proceeds.
  • Assessment outcome. Record the assessment date and supported eligibility state. Invalid program submissions return to Pending for correction rather than proceeding into benefit preparation.
  • Appeal follow-through. Keep Appealed assessments visible with their program and criteria context. Case Worker follows the organization’s agreed appeal handling and records only the supported lifecycle changes.

What to agree during setup

Agree who owns the program criteria and how Case Worker knows which version to apply. Use real case examples to define the evidence reviewed in the organization’s assessment process. Clarify the meaning of each permitted status handoff before using the assessment action for live work.

Define how the team identifies an applicant during intake and how repeated submissions are handled. An applicant name helps staff read the record but should not be treated as sufficient identity verification. Also agree what happens when the assessment date is unavailable before an eligible case is captured, because the planned benefit’s due date depends on that date. Keep the resulting benefit tied to the intended assessment throughout the handoff.

Check the handoff on an actual case

Rehearse an eligible applicant assessment under an active assistance program using the current criteria version. Case Worker records the assessment date and captures the eligible case. Ask Benefits Officer to inspect the resulting Planned benefit, its assessment reference and the due date 30 days later.

Confirm that the amount remains empty until an authorized person prepares it. Repeat equivalent processing for the same assessment and inspect the existing planned benefit rather than expecting another child record. Then use an invalid program association and confirm the case remains or returns Pending. Review an Appealed case with its criteria context and agree the next supported action without treating the appeal itself as a payment authorization.

What your team sees

  • Pending Assessments — Assessments needing the next eligibility action or correction.
  • Eligible Assessments — Recorded eligible cases whose benefit handoff can be inspected.
  • Appealed Assessments — Cases requiring appeal follow-through under the agreed program criteria.
