Booking to treatment

From a booking request to a delivered treatment and a completed session.

Step by step

  1. Request booking Front Desk Coordinator

The front desk records the member, session and places.

    • Requested
    • Updates Bookings, Members, Sessions
  2. Confirm booking Front Desk Coordinator

The booking is confirmed once the member and session are checked and the places fit the capacity left. A guest without an active package gets a pending charge.

    • Requested → Confirmed; pending charge if no package
    • Updates Bookings, Sessions, Payments
  3. Allocate therapist and room Front Desk Coordinator

A therapist and room are reserved for the booking with start and end times.

    • Therapist and room reserved
    • Updates Therapist allocations, Treatment rooms
  4. Check in Therapist

The therapist checks the guest in; one attendance record is written, the booking becomes attended and one package session is used.

    • Confirmed → Attended; allowance used once
    • Updates Attendance, Bookings, Member plans
  5. Resolve the rest Front Desk Coordinator

Guests who did not arrive are marked as no-shows, and the session completes once every booking is resolved.

    • No show; Open → Completed
    • Updates Bookings, Sessions

Where it usually breaks

And how to keep it from happening.

  • Two people book the last place at once and the session is overbooked.
  • A double tap at check-in uses two package sessions.
  • A no-show is left confirmed and the session never completes.
