Systems to connect

  • Accounting and payments. Set up the handoff for released claims and the return of confirmed payment outcomes. Reconcile the order reference, reviewed amount and payment date before recording Paid.
  • Electronic signatures. Connect the chosen signing service if the team collects SOW or waiver signatures electronically. Return the signed file to the corresponding agreement or waiver and review its company and project references.
  • Document storage. Use controlled file locations for submitted documents and agreement evidence. Check access from an external subcontractor account as well as an internal review account.
  • Email delivery. Configure delivery for document requests and agree the recipient contact. Reconcile failed requests so a company is not left waiting for a message it never received.
  • Field collection. Connect a field app or portal when work entries arrive from another system. Preserve the order line, work date and unit through the transfer.
  • Tax filing and identity checks. Connect the selected provider for external filing or tax-identifier validation. Reconcile provider outcomes with the recipient record before recording a completed filing.

How connections are governed

Give each connection a named owner and an agreed record identifier. Use a test company to rehearse successful delivery, rejected input and a repeated message. Restrict credentials and document access to the required scope. Controller owns payment and filing reconciliation; Procurement Manager coordinates company information. The implementation cycle should include the return path from each external service, so an outgoing request is followed to its actual outcome.
