Claim to Payment

Verify a progress claim, obtain Controller approval and resolve the required waiver before payment handoff.

Step by step

  1. Submit the period claim Subcontractor User

Subcontractor User prepares the claim for the purchase order and project. Its period and line quantities need to describe the same work. The routing workflow refuses a submitted claim when the subcontractor is Suspended.

    • Submitted claim enters routing if vendor status permits
    • Updates Pay applications, Pay application lines, Subcontractors
  2. Verify the work Project Manager

Project Manager compares the submitted claim with order lines and site progress. Record Verified with the verifying user and date when the work supports the amount. Resolve disputed quantities before passing the claim to Controller.

    • Project verification records Verified
    • Updates Pay applications, PO line items, Subcontractor time entries
  3. Approve the payment request Controller

Controller reviews the verified amount, retainage and backcharges, then records Approved or Rejected. A backcharge must identify the application receiving the deduction so the team can trace the amount under discussion.

    • Final review records Approved or Rejected
    • Updates Pay applications, Backcharges
ApprovalA person approves before the work moves on.
  4. Resolve the waiver hold Subcontractor User

Controller follows the required waiver type and project jurisdiction. An approved claim waits at Pending lien waiver while the required evidence is outstanding. A matching Signed or Received waiver lets the release workflow move the claim to Ready for payment.

    • Matching evidence releases the waiver hold
    • Updates Lien waivers, Pay applications, Projects
  5. Reconcile the payment outcome Controller

Controller hands the released amount to the connected accounting process. Record Paid and the payment date after confirming the outcome. Retain the claim's links for the annual recipient reconciliation.

    • Confirmed external payment is recorded as Paid
    • Updates Pay applications

Where it usually breaks

And how to keep it from happening.

  • Qualification changed. Check suspension when routing the submitted claim, even if the order was issued while the company was Active.
  • Waiver mismatch. A signed file needs the required type and matching jurisdiction. A document attached to another project does not settle this claim's request.
  • Deduction uncertainty. Resolve whether a backcharge is disputed or applied before relying on the amount sent for payment.
