Scope to Field Work

Carry an agreed scope through approval and purchasing into the field evidence used for a claim.

Step by step

  1. Prepare the scope Project Manager

Project Manager creates the agreement for the project and subcontractor. Priced lines describe the quantity and unit, while the agreement carries its dates, retainage and any nonstandard-clause flag. Submit the complete scope for review.

    • Draft scope becomes ready for submission
    • Updates SO ws, SOW line items, Projects, Subcontractors
  2. Approve the agreement Project Manager or Procurement Manager

Project Manager or Procurement Manager approves according to the agreed routing and amount tier. Each approval step identifies its assigned person. Review the decision result and notes before moving the agreement from Submitted to Approved.

    • Required decisions support approval
    • Updates SO ws, SOW approval steps
ApprovalA person approves before the work moves on.
  3. Record execution and the order Project Manager

Project Manager records execution after the agreement is put into effect. Procurement Manager follows the related purchase order, checking the source agreement and line references before issue. The order moves through acknowledgment into In progress as work proceeds.

    • Executed work links to its purchasing reference
    • Updates SO ws, Purchase orders, PO line items
  4. Verify field work Field Supervisor

Field Supervisor compares submitted time or units with the order line and site work. Record Verified or Rejected with the verification details. Project Manager uses verified work when checking the pay application for the relevant period.

    • Submitted work becomes Verified or Rejected
    • Updates Subcontractor time entries, PO line items
  5. Review changes and performance Project Manager

Project Manager submits scope amendments for the agreed approval owner and records the resulting decision. A performance scorecard retains criterion ratings and the rehire assessment for Procurement Manager's later vendor review.

    • Amendment and performance evidence support later decisions
    • Updates Change orders, Rating scorecards, Scorecard ratings

Where it usually breaks

And how to keep it from happening.

  • Different units. A claim based on hours cannot be checked against a square-foot line without resolving the intended work measure.
  • Unreviewed changes. A Submitted change order still needs its decision. Procurement and the field team need the accepted terms before using an amendment in the next claim.
  • Wrong line reference. Work linked to another order creates an unreliable verification trail. Correct the reference before accepting the entry.
