Year-End Preparation

Reconcile the annual recipient population and prepared forms with payment and filing outcomes.

Step by step

  1. Review company details Controller

Procurement Manager resolves company classification and W-9 questions with the subcontractor. Controller checks the recipient information needed for the tax year, including legal name and tax identifier. Follow up on stored-data TIN mismatches before relying on the form details.

    • Recipient identity and W-9 questions are resolved
    • Updates Subcontractors, Document requirements, Document submissions
  2. Build the annual tracking Controller

Controller runs or reviews the annual job for the intended year. It prepares tracking from paid applications and applied backcharges using the configured recipient selection and generation policy. Check the population against accounting before accepting the totals for preparation.

    • Annual job prepares recipient totals
    • Updates Pay applications, Backcharges, Form 1099tracking
  3. Reconcile each recipient Controller

Controller compares the annual paid total with the linked form's gross amount and any backup withholding. Follow discrepancies back to the applications and deductions. Confirm the tax-year rules with the team's tax adviser during setup.

    • Paid total and form amount are compared
    • Updates Form 1099tracking, Form 1099filings
  4. Issue the reviewed form Controller

Controller checks the recipient details and prepared file before recording the issuing outcome. The tracking record retains its generated-form link and dates so follow-up can stay with the same company and year.

    • Issuing outcome and form reference are retained
    • Updates Form 1099filings, Form 1099tracking
  5. Record filing and corrections Controller

Controller uses the connected filing process and records Filed after confirmation. A later correction can be recorded as Amended with its file. Reconcile the tracking row's filing date with the form outcome.

    • Filing or amendment outcome is recorded
    • Updates Form 1099filings, Form 1099tracking

Where it usually breaks

And how to keep it from happening.

  • Wrong payment period. A claim's work period and payment date answer different questions. Reconcile the dates used by the annual job.
  • Deduction counted twice. Check how applied backcharges affect both the recorded payment and annual calculation before accepting the total.
  • Unconfirmed filing. A generated file still needs the filing service's outcome before the record is marked Filed.
