How a Tax Collection System rollout works

Start with one tax type and one office the revenue team can reconcile in a month.

  1. Agree the operating boundary

The scope is demands, assessments, review, ledger posting, periods, challan import and collection application. Banks, gateways, taxpayer portals and the main accounting system remain connected. The authority applies tax law and rates; Proto prepares configuration for review.

  2. Map the source data

Bring offices, taxpayers, the chart of accounts, periods, open demands with lines and assessments, and recent receipts.

  3. Configure a bounded pilot

Pilot one tax type in one office. Raise demands through review and posting, import challans and apply them for a month.

  4. Rehearse the exceptions

Return a demand and approve the revised version. Reject an assessment with the wrong amount. Import a bank file twice. Apply an overpayment. Correct a posted demand. Post into a closed period.

  5. Reconcile and release

Compare receivables, collections and period balances with the source and the bank. Obtain the revenue head's acceptance and agree the rollback window before adding tax types.

What the customer provides

  • Offices, taxpayers and their codes.
  • The chart of accounts and the year’s periods.
  • Demand types with their line accounts and tax treatment.
  • Open demands, assessments and recent receipts.
  • Review limits and the refund policy.

Changing it afterwards

Use Proto to prepare changes on a branch. Review changed fields, permissions and reports with the revenue head. Replay the pilot’s exception cases before release. Posted journals and decisions keep their original values.
