What you can do

Keep the work tied to its source

An organization identifies the legal entity on a return or notice. Its tax registration identifies the filing relationship used by notices and payments. Admin maintains those records while the Filing Specialist checks them before preparing work. A notice attached to the wrong registration can send a manager toward the wrong obligation even when its amount looks plausible. Start the review with the legal name and registration, then follow the linked notice or payment. customers also belong to an organization and can be linked to returns and inbound payments.

A subsidiary case makes the handoff clear. If a notice points to a registration owned by its parent organization, Tax Manager sends the record back for correction before using the approval action. The registration link, organization on the notice and filing period should tell the same story. Keep the notice in Pending Approval while the discrepancy is resolved.

How the work is organized

  • Establish the entity. Admin checks legal name, country, tax identifier and current organization status before filing work starts.
  • Maintain the registration. Confirm its organization, identifier, contact and status before a notice or payment uses it.
  • Trace dependent records. Filing Specialist checks the organization on each return and the registration on each notice or remittance.

What to agree during setup

Agree who maintains organization details and who can correct a registration. Decide how the team handles an On Hold registration and how it identifies a duplicate or outdated registration number. Keep the tax identifier and remittance contact current. Use an actual subsidiary and parent relationship during setup, because the same registration name can otherwise look right in a list while its organization link is wrong.

Ask Admin to check the entity and registration first. Then have Filing Specialist find the linked return and Tax Manager find the pending notice. Each person should state which record they would correct if the entities disagree. Record a correction in the relevant notes or memo so the next reviewer can understand why the link changed.

Check the handoff on an actual case

Take a notice for a subsidiary with an active registration. Open the notice and compare its organization with the organization on the registration. Check its period and notice date before Tax Manager reviews the amount. If the registration belongs to the parent, return the notice to the preparer and update the correct link. Have Tax Manager reopen Notices Pending Approval and confirm the relationship before approving.

Now open a scheduled payment tied to that notice. Treasury Analyst checks the same registration and the payment amount before release. If the payment points to a different registration, correct it while Scheduled. This rehearsal establishes which record is authoritative at each handoff and prevents a clean-looking status from masking a wrong entity.

What your team sees

  • Notices Pending Approval — Notices with entity, registration and amount ready for the manager’s review.
  • AP Bills Worklist — Pending or approved notices alongside their registration and due date.

Follow the work through

Read return and remittance for the complete handoff, and period close review for declaration and payment exceptions. Use implementation to rehearse the first operating cycle with your own entity and period.
