What you can do
Keep the work tied to its source
tax notices record an authority notice, its organization, registration, filing period, amounts and due date. notice lines identify the components and tax accounts behind the amount. Tax Manager reviews those details before approving a Pending Approval notice. The native approval action records a review decision and operation receipt when it moves the notice to Approved. The decision record is as important as the new status when someone later asks why the notice proceeded.
A notice can have a plausible total and still carry the wrong registration. Start with the linked entity and period, then compare the notice lines with the header amount. Treasury should use the approved obligation only after the manager’s review is complete.
How the work is organized
- Register the obligation. Filing Specialist records the notice date, due date, registration and organization.
- Check the detail. Tax Accountant compares notice lines, tax code and account classification with the header total.
- Decide and record. Tax Manager approves the Pending Approval notice through the native action and reviews the decision and receipt.
What to agree during setup
Agree who enters a notice, who checks its lines and who may approve it. Decide how a Disputed notice is handled and how the team identifies an overdue balance. Keep a supporting notice file link in filing evidence when one is available. The file reference and notice number should allow a reviewer to find the same obligation.
Rehearse a notice with an amount that differs from its lines. Tax Accountant identifies the discrepancy before the case reaches Tax Manager. The manager should be able to reject the handoff for correction and later see the corrected amount, registration and due date in Notices Pending Approval.
Check the handoff on an actual case
Take a Pending Approval notice for an active registration. Compare its tax amount and total amount with the line subtotal and individual line amounts. If a line uses the wrong tax account, correct the line while the notice remains pending. Tax Manager then invokes Notice Approval Action. Inspect the Approved status, the review decision with reviewer and date, and the operation receipt with actor and result.
Try the approval action on a notice outside its eligible status. It should be guarded. Then place an approved notice with an unpaid balance past its due date. Notices Past Due should make that case visible to Tax Manager and Treasury Analyst. Treasury checks the obligation before scheduling a linked payment; the notice’s status alone does not establish bank clearance.
What your team sees
- Notices Pending Approval — Notices waiting for the manager’s approval decision.
- Notices Past Due — Approved or scheduled notices whose due date needs attention.
Follow the work through
Read return and remittance for the complete handoff, and period close review for declaration and payment exceptions. Use implementation to rehearse the first operating cycle with your own entity and period.
