What you can do
Keep the work tied to its source
tax returns carry the prepared filing amount, due date, filing reference, customer and organization. return lines hold the underlying descriptions, quantities, prices, revenue categories and tax accounts. Filing Specialist checks the lines against the header before using the native submission action. That action moves a Draft return to Sent and records an operation result. The saved status and receipt let the next person see what happened in the app.
For a return with a large balance due, Tax Accountant should check line totals and tax-account classification before Filing Specialist submits it. A later payment may link to the return, but that link does not replace checking the amount received and balance on the return.
How the work is organized
- Prepare the amount. Filing Specialist checks line descriptions, quantities, prices and tax accounts against the return total.
- Submit the draft. The native action guards the Draft to Sent change and records an operation receipt.
- Follow settlement. Review the linked payment and the return’s amount received and balance due after submission.
What to agree during setup
Agree how the team records a filing reference, filing date and due date. Decide whether a customer is relevant to each return and confirm the organization before submission. Tax Accountant checks which tax accounts apply to the lines. Filing Specialist should know who resolves a discrepancy between line subtotal and header total.
Use a representative return with a real-looking due date and a line whose tax account is deliberately wrong. The team should correct the line before invoking submission. Agree how an operation receipt is reviewed when its result is Failed or Partial, and who follows up on an overdue return.
Check the handoff on an actual case
Open a Draft return for an organization with a stated total and two return lines. Tax Accountant checks the line subtotal, tax amount and tax accounts, then Filing Specialist confirms the filing reference and due date. Invoke Return Submission Action. The return should move to Sent and its operation receipt should identify the action, actor, time and result.
Try the same action on a Sent return. The guard should prevent another Draft to Sent transition. Have Tax Manager inspect the return and its receipt before arranging any next step. If a linked payment is later recorded, compare its amount and direction with the return’s amount received rather than assuming the payment settles the full balance. Returns Overdue gives the team a worklist when the return status becomes Overdue.
