Booking to assignment

Prepare the journey, review its scope and confirm an accepted driver match.

Step by step

  1. Prepare the ride Dispatcher

Dispatcher records the booking interval, service zone and responsible staff member. Add the rider's pickup and dropoff details to the linked ride request. Keep the booking in Draft until the information is ready, then Dispatcher submits it as Review.

    • Draft booking prepared and submitted as Review with its Planned request
    • Updates Bookings, Ride requests
  2. Check the proposed resource Dispatcher

Dispatcher checks the intended interval and prepares the booking resource in Proposed. Compare the driver and vehicle with current availability and review any relevant fleet condition evidence. Leave an unresolved match visible for follow-up.

    • Proposed resource checked against current availability
    • Updates Booking resources, Drivers, Vehicles
  3. Review the booking Operations Reviewer

Operations Reviewer independently approves, rejects or returns the booking in Review. Record the source revision and a reason. Approval moves the booking to Approved; a returned booking needs the specified correction before another review.

    • Current revision approved, rejected or returned
    • Updates Bookings, Review decisions
ApprovalA person approves before the work moves on.
  4. Confirm the accepted match Dispatcher or Operations Reviewer

Dispatcher checks the accepted driver and vehicle again, then confirms the booking resource as Assigned with its confirmation time. If the match cannot be confirmed, Operations Reviewer records the escalation and its reason.

    • Assigned resource confirmed or missing match escalated
    • Updates Booking resources, Review decisions
  5. Hand over the ride Dispatcher

Dispatcher gives Trip Coordinator the reviewed booking and linked request. Check the rider, addresses and current resource together before using the assignment for pickup.

    • Current journey and assignment shared
    • Updates Bookings, Ride requests, Booking resources

Where it usually breaks

And how to keep it from happening.

  • A changed pickup interval still carries a decision for an earlier revision.
  • The driver is Available but the vehicle has entered Maintenance.
  • A proposed resource is mistaken for a confirmed assignment during a shift change.
