Fare evidence to payment review

Explain ride charges and record payment states backed by provider evidence.

Step by step

  1. Collect the charge evidence Finance Operator or Trip Coordinator

Finance Operator identifies the booking and provider event for each fare component. Record the charge type, amount, currency and occurrence time in Draft. Trip Coordinator attaches the supporting fare breakdown or receipt to the related ride; Finance Operator reads that document when reviewing the component.

    • Draft component recorded by finance; supporting ride document attached by trip staff
    • Updates Payment evidence, Bookings, Record attachments
  2. Review the draft Finance Operator

Finance Operator checks the component against the provider source and the linked ride. Approve supported evidence under the agreed review policy. Resolve the wrong booking, an unclear currency convention or a repeated event before advancing the record.

    • Supported component approved
    • Updates Payment evidence, Trip completion evidence

  3. Follow invoicing and payment Finance Operator

Finance Operator records Invoiced or Paid when the corresponding external evidence is available. The recorded state should explain the provider outcome that staff can verify, including the event identifier used for follow-up.

    • External outcome recorded as Invoiced or Paid
    • Updates Payment evidence
  4. Investigate a challenged component Finance Operator or Trip Coordinator

Finance Operator compares the fare breakdown with relevant trip evidence. Trip Coordinator supplies observations needed to explain a Waiting Time Charge or similar component. An unused draft can be marked Void under the agreed policy; a provider adjustment follows its own confirmed process.

    • Charge context examined and supported correction recorded
    • Updates Payment evidence, Trip tracking events, Record attachments

Where it usually breaks

And how to keep it from happening.

  • A retried provider event is entered as another charge component.
  • Different currency conventions are combined into an unexplained total.
  • A disputed charge is changed without retaining its provider evidence and ride context.
