Timesheet approval routing

Build the approval chain from your rules, decide each step and auto-approve low-variance sheets.

Step by step

  1. Evaluate the rules Controller

On submission, active approval rules are evaluated in priority order against the sheet's project categories, billable time and total hours, in First Match or All Match mode.

    • Matching rules found
    • Updates Approval rules, Timesheets
  2. Build the chain Controller

Each matching rule adds its step-one and step-two approver roles as Pending steps on the sheet.

    • Steps Pending
    • Updates Timesheet approvals
  3. Check auto-approval Controller

If the matching rule allows it, the variance from forecast is within its threshold and the person has no open violations that week, the sheet is approved without manual steps.

    • Sheet auto-approved or left for approvers
    • Updates Timesheets, Time policy violations
  4. Decide each step Controller

Each approver approves or rejects their step with comments.

    • Step Approved or Rejected
    • Updates Timesheet approvals
ApprovalA person approves before the work moves on.
  5. Finish Resource

When every step is approved, the sheet is Approved and its entries lock. A rejection returns the sheet with the reason for correction and resubmission.

    • Sheet Approved and entries Locked, or Rejected
    • Updates Timesheets, Time entries

Where it usually breaks

And how to keep it from happening.

  • Two rules with the same priority give an unexpected chain.
  • An auto-approval rule's variance is set so wide that unusual weeks pass unchecked.
  • A person has no resource manager, so a Resource Manager step has no approver.
