What you can do
The work behind the hours
A task is a piece of work inside a work package. It has a title, assignee, priority, dates, estimated and actual hours, and a progress value. The project reference places it in the broader engagement; the package reference is required. A task can be linked to a time entry, letting a manager review an entry with the work it describes. Task Board by Status groups the work by its existing status values, while Blocked Tasks draws attention to work that cannot continue.
How the work is organized
- Assign a clear unit. Project Manager creates the task under its work package, sets the assignee and gives the team an estimated effort and due date.
- Update progress. Team Member moves the task from Backlog through in progress and in review toward Done. Blocked records work that needs a decision before it can proceed.
- Compare effort. The manager reads estimated and actual hours beside the task status, then checks the related time entries for the work dates behind the total.
What to agree during setup
Agree how a task is sized and when a work package needs a new task instead of a changed estimate. Define what in review means for the team and who may move a task to Done. Decide whether the project reference is filled directly or derived from the package during entry; the package already belongs to a project. Before approving time for a task, check that its project context matches the entry being reviewed. Make this project comparison part of the operating review before approving submitted hours. Keep the task’s actual hours and the project’s logged hours distinct when reporting progress.
Check the handoff on an actual case
Start with an active project and a work package in progress. The manager creates a high priority task with an assignee, start date, due date and estimate. The team member begins work and changes the task to in progress, then records dated time against the project and task. The manager sees the task in Tasks In Flight and can compare its estimate with actual hours. If the work depends on a decision, mark it Blocked. It appears on Blocked Tasks and can be discussed before the next weekly submission. Once the issue is resolved, move it back into active work and then into review. The task history, time entries and package estimate give the manager a grounded explanation for any overrun without changing the hours already approved.
