Exception reconciliation

Resolve uncertain maintenance and transport results while preserving the original evidence and decision.

Step by step

  1. Read the failed result Operations Analyst

Operations Analyst opens the operation receipt and checks its key, action, expected revision and failure reason. Follow the effect references and supporting files before asking the team to repeat any activity.

    • Identify the uncertain action and revision
    • Updates Operation receipts
  2. Establish what happened Operations Analyst

Operations Analyst compares local effects with the source responsible for the physical work. Tire Inspector explains maintenance evidence and Dispatcher explains transport events. Retain the confirmation reference where another system owns the authoritative outcome.

    • Compare the recorded action with actual evidence
    • Updates Operation receipts, Record attachments, Loads, Tire inspections
  3. Decide a correction Maintenance Reviewer

When an excepted load needs correction or cancellation, Maintenance Reviewer approves, rejects or returns the exact requested scope with a reason. Preserve the original decision and receipt. Only authorized unexecuted scope can be cancelled; externally controlled effects need confirmation from their owner.

    • Authorize or refuse the requested correction
    • Updates Review decisions, Loads
ApprovalA person approves before the work moves on.
  4. Reconcile the result Operations Analyst

Operations Analyst checks the authorized correction and its receipt against the linked effects. Unresolved failed outcomes remain marked as needing review with the discrepancy retained. Reconciliation reads and compares evidence; it does not repeat external work simply to obtain a successful result.

    • Retain the correction result or unresolved discrepancy
    • Updates Operation receipts, Loads

Where it usually breaks

And how to keep it from happening.

  • Another action on the same load is mistaken for the failed operation's result.
  • A timeout is treated as proof that nothing happened.
  • Cancellation is used to hide a physical action already performed.
  • The original evidence is replaced with a cleaner-looking final explanation.
