Delivery verification

Match receiving evidence to its stop before recording the final load outcome.

Step by step

  1. Check the destination Dispatcher

Dispatcher reviews the delivery stop, contact and current transport events. Confirm which stop the receiving evidence belongs to, especially when a load includes more than one delivery or a later service visit.

    • Intended delivery and event context checked
    • Updates Load stops, Loads, Tracking events
  2. Capture the evidence Delivery Coordinator

Delivery Coordinator records the delivery time, receiving name and signature reference against the load and stop. Add notes and the supporting attachment reference. Mark the evidence Captured while the verification is still outstanding.

    • Captured receiving account linked to load and stop
    • Updates Proof of delivery, Record attachments
  3. Verify the receiving account Delivery Coordinator

Delivery Coordinator compares the captured account with the intended stop and source document. Mark it Verified when the references and receiving details agree, or Disputed when they conflict. Keep the reason useful to the Dispatcher and transport partner who will investigate.

    • Captured to Verified or Disputed
    • Updates Proof of delivery, Load stops
  4. Reconcile the load Dispatcher

Dispatcher checks the required stop outcomes and verified delivery evidence before recording the load as Delivered. Complete the relevant dock appointment after its activity occurs. An unresolved stop or disputed document stays visible during reconciliation.

    • Record completed stops and reconciled load outcome
    • Updates Loads, Load stops, Plant appointments, Proof of delivery
  5. Compare the promise Transport Planner

Transport Planner compares the verified delivery time with the promised delivery time. Review each delivery separately and investigate missing or disputed evidence before discussing performance with the plant.

    • Delivery-level comparison with the promise
    • Updates Loads, Proof of delivery

Where it usually breaks

And how to keep it from happening.

  • A signature belongs to another stop or load. Keep it disputed until the source has clarified the reference.
  • An arrival event is treated as a verified delivery. Review the receiving account and supporting document before changing verification status.
  • An intermediate delivery hides unfinished work later in the trip. Review the complete stop sequence before closing the load outcome.
