Freight and outcome reconciliation

Resolve load charges and trace operational results before closing the review.

Step by step

  1. Gather the charge evidence Freight Analyst

Freight Analyst records the load, charge type, amount and currency. Review the supporting delivery record or document, and ask the Dispatcher to explain any detention, layover or other disputed operating circumstance.

    • Draft charge and supporting evidence reviewed
    • Updates Freight charges, Loads, Proof of delivery, Record attachments
  2. Approve the charge Freight Analyst

Freight Analyst approves a supported draft charge after reviewing its evidence. Keep unsupported amounts in Draft for investigation or record an invalid charge as Void. An approved dock appointment alone cannot establish the amount due for waiting time.

    • Draft to Approved or Void as appropriate
    • Updates Freight charges
ApprovalA person approves before the work moves on.
  3. Record the financial handoff Freight Analyst

Freight Analyst records the charge as Invoiced and enters the invoiced date from the financial evidence. Record Paid only when the corresponding payment evidence has been reconciled. Keep each currency separate during the handoff.

    • Approved to Invoiced, then evidenced Paid
    • Updates Freight charges
  4. Investigate uncertain outcomes Freight Analyst

Freight Analyst reviews Pending, Failed and review-needed operation receipts with Dispatcher or Dock Reviewer. Compare the action, external reference and related source decision before retrying work. Identify who owns the unresolved result.

    • Resolve action and decision discrepancies
    • Updates Operation receipts, Review decisions, Plant appointments
  5. Verify the reconciliation Freight Analyst

Freight Analyst compares completed outcomes with their source records. Transport Planner reviews a changed or cancelled load with Dispatcher and checks the effect on assignments and appointments. Preserve the earlier decision and revision context when correcting the operating plan.

    • Confirm outcomes and retain unresolved follow-up
    • Updates Operation receipts, Loads, Load assignments, Plant appointments

Where it usually breaks

And how to keep it from happening.

  • Amounts in different currencies appear in one total. Review separate currency groups before sending a financial summary.
  • A failed receipt triggers a repeated action whose business effect already exists. Inspect the source decision and current record first.
  • Cancelling a load leaves a confirmed resource assignment or approved plant reservation without follow-up. Dispatcher reconciles each affected commitment.
