Load planning and dispatch

Approve the transport requirement, confirm its resources and record departure.

Step by step

  1. Prepare the load Transport Planner

Transport Planner records the item, requested units, lane, planned departure and delivery promise. Add pickup and delivery stops in sequence, with a receiving contact and window start. Confirm the transport partner before asking the Dispatcher to arrange the trip.

    • Draft transport requirement and stop order
    • Updates Loads, Load stops, Transport partners, Routes
  2. Approve the plan Transport Planner

Transport Planner approves the current load requirement and marks the load Planned. Record the decision against the source record and revision. A change to the receiving commitment needs another comparison with the trip being arranged.

    • Draft to Planned with a planning decision
    • Updates Loads, Review decisions
ApprovalA person approves before the work moves on.
  3. Confirm the assignment Dispatcher

Dispatcher reviews the intended driver and vehicle with Fleet Coordinator. Check the driver's eligibility and the vehicle's readiness, then record the assignment start and availability check. Move Held work to Confirmed only when the team has settled the resource question.

    • Held to Confirmed with selected resources
    • Updates Load assignments, Drivers, Vehicles
  4. Check the appointment Dispatcher

Dispatcher checks the linked plant reservation and its reviewed outcome using the separate dock review process. A rejected reservation needs resolution with the plant before the trip proceeds on that basis. The appointment decision leaves the load's transport state unchanged.

    • Review dock outcome without dispatching the load
    • Updates Plant appointments, Loads
  5. Record departure Dispatcher

Dispatcher records the assignment and load as Dispatched when departure occurs. Record the departure event with its occurrence time, location and source. Continue tracking the moving load and investigate delays against the receiving promise.

    • Record dispatch and departure evidence
    • Updates Loads, Load assignments, Tracking events

Where it usually breaks

And how to keep it from happening.

  • A quantity has a different meaning to the sending and receiving teams. Agree the item and unit convention before the planning decision.
  • A confirmed assignment still names equipment that has since entered Maintenance. Fleet Coordinator and Dispatcher must resolve the replacement together.
  • The plant changes its appointment while dispatch uses the earlier time. Compare the current reservation and load revision during the handoff.
