Keys and references
Preserve the source record identity when loading references. Names and display numbers help people recognize work, but imports must resolve the intended record rather than assume matching labels establish a relationship. Resolve team members.User to Users before interpreting an Owner as the current staff member.
Loads.Lane is text; agree its mapping to the standard Routes names during setup. Driver settlements.driver reference is also text, so agree its identification convention with the driver roster. Record attachments.related record and the review source identifiers need an explicit record-matching convention. Resolve proof of delivery.Load and Stop to the same journey during the import review.
Keep charge currencies explicit and driver pay amounts in USD. Agree the currency and volume-unit convention for fuel transactions before importing totals. Preserve original decision revisions and event times during migration.
Migration order
- Load Organizations and Users, then connect team members to the appropriate user and organization.
- Load transport partners, Routes, Drivers and Vehicles with their active states and source identities.
- Load Loads, then load stops and load assignments with their resolved parent and resource references.
- Load Inspections, vehicle defects, maintenance plans and fuel transactions against the intended vehicle.
- Load tracking events, proof of delivery, freight charges and driver settlements against the correct load and stop where applicable.
- Match review decisions, operation receipts and record attachments to their source work. Reconcile open cases and approved amounts before starting the pilot.
