Assign and dispatch

An approved load needs an accountable resource check before departure. Dispatcher chooses the driver and vehicle; Fleet Manager supplies their current eligibility and condition. The assignment start and availability check preserve the basis for that choice through a shift change.

Step by step

  1. Select the load Dispatcher

Dispatcher opens an Approved load and reviews its planned departure and stops. Confirm that the plan still describes the work requested by the customer before choosing resources.

    • Review the approved journey
    • Updates Loads, Load stops
  2. Hold the resources Dispatcher

Dispatcher creates a Held assignment with the driver, vehicle and intended start. Review the driver's status and eligibility date, then inspect the vehicle's readiness and current commitments.

    • Record a Held resource match
    • Updates Load assignments, Drivers, Vehicles
  3. Resolve readiness Fleet Manager or Dispatcher

Fleet Manager checks open defects, inspections and service plans. Dispatcher records the availability check and confirms the assignment when the resource questions are resolved. Replace an unsuitable resource before proceeding.

    • Resolve condition checks and confirm the match
    • Updates Vehicle defects, Inspections, Maintenance plans, Load assignments
  4. Dispatch load Dispatcher or Delivery Coordinator

Dispatcher moves the assignment from Confirmed to Dispatched at the actual handoff. Delivery Coordinator records the departure event against the load and starts the relevant stop's progress from Planned to En Route.

    • Record departure and execution progress
    • Updates Load assignments, Tracking events, Load stops
  5. Hand over exceptions Delivery Coordinator or Dispatcher

Delivery Coordinator records delays or exceptions with their time and source. Dispatcher investigates the effect on the promised delivery and keeps the next shift informed through the load and assignment records.

    • Explain delays affecting delivery
    • Updates Tracking events, Loads

Where it usually breaks

And how to keep it from happening.

  • A truck is treated as available because its last assignment ended, despite an unresolved defect.
  • A Held assignment is mistaken for an actual departure during shift handover.
  • A late departure event has no useful explanation of when the physical movement occurred.
