Plan and approve a load

Begin with a real customer movement and the operating company responsible for it. Dispatcher prepares the lane and stops; Transport Manager decides whether the current plan can proceed. The reviewed plan becomes the starting point for resource assignment.

Step by step

  1. Identify the work Dispatcher

Dispatcher creates the Draft load, selects its operating organization and transport partner, and records the requested units. Confirm the meaning of that quantity before comparing the load with other work on the same lane.

    • Establish Draft load scope
    • Updates Loads, Organizations, Transport partners
  2. Prepare the stops Dispatcher

Dispatcher records the pickup, delivery and service sequence, with addresses and contacts. Check the planned departure and promised delivery against the customer's request. Attach the relevant bill of lading or other supporting document.

    • Describe the intended journey
    • Updates Load stops, Routes, Record attachments
  3. Submit the plan Dispatcher

Dispatcher moves the load from Draft to Review once the scope is ready for a decision. Identify the revision being reviewed so a later change can be distinguished from the submitted plan.

    • Draft to Review
    • Updates Loads
  4. Approve load Transport Manager

Transport Manager reviews the plan and approves it from Review to Approved, or rejects it with a recorded reason. A returned question needs an answer before Dispatcher treats the scope as authorized.

    • Review to Approved or Rejected
    • Updates Loads, Review decisions
ApprovalA person approves before the work moves on.
  5. Handle a change Dispatcher or Transport Manager

Dispatcher brings changed quantities, locations or timing back to Transport Manager. Retain the earlier decision and explain any correction or cancellation before the dispatch team acts on the revised work.

    • Retain the reason and revised outcome
    • Updates Loads, Review decisions, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • The delivery address changes after review, while dispatch still works from the earlier plan.
  • The requested quantity has an unclear meaning, making a lane comparison misleading.
  • A cancellation is communicated verbally and the assignment desk continues preparing departure.
