Review and complete settlement

The driver statement follows completed-load evidence into an independent review. Settlement Clerk prepares the amount and supporting references. Settlement Approver decides the submitted revision before payment is arranged through the carrier's external process.

Step by step

  1. Gather completion evidence Settlement Clerk

Settlement Clerk checks the Executed load, completed delivery stop and Verified proof. Review freight charges separately by amount, currency and billing state, retaining any unresolved commercial questions.

    • Establish the operational and commercial context
    • Updates Loads, Load stops, Proof of delivery, Freight charges
  2. Prepare settlement Settlement Clerk

Settlement Clerk creates the Draft statement with its load, organization, driver reference and pay amount in USD. Check the period end and identify the revision being submitted.

    • Prepare a Draft statement
    • Updates Driver settlements
  3. Submit the revision Settlement Clerk

Settlement Clerk moves the statement to Submitted and records the submission time. A changed amount needs another review of the changed revision, with earlier decisions retained for explanation.

    • Draft to Submitted
    • Updates Driver settlements
  4. Approve settlement Settlement Approver

Settlement Approver independently checks completed-load evidence and the submitted amount. Approval moves the statement to Approved with its decision time, a review decision and an operation receipt. Rejection moves it to Rejected with the reason available to the clerk.

    • Submitted to Approved or Rejected
    • Updates Driver settlements, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.
  5. Verify completion Settlement Clerk or Settlement Approver

Settlement Clerk reconciles the external payment result and settlement reference before recording Completed. Settlement Approver checks unresolved operational receipts; pending or failed outcomes and receipts needing review stay visible for investigation.

    • Reconcile the external result and completion
    • Updates Driver settlements, Operation receipts, Record attachments

Where it usually breaks

And how to keep it from happening.

  • The reviewer sees a different amount from the submitted revision.
  • The preparer is also treated as the independent approver.
  • An Approved statement is marked Completed while the external payment result remains uncertain.
  • A driver reference is interpreted differently by dispatch and settlement staff.
