Track and confirm delivery

Delivery Coordinator follows the load's actual journey through stop records and tracking events. Proof of delivery must identify the same load and receiving stop. Dispatcher uses that evidence when reconciling the executed load and completed assignment.

Step by step

  1. Follow the journey Delivery Coordinator

Delivery Coordinator records Departure, Arrival and other milestones against the load. Keep the event time, reporting source and location useful to the dispatcher investigating progress.

    • Record reported milestones
    • Updates Tracking events, Loads
  2. Work the stop Delivery Coordinator

Delivery Coordinator moves the active stop from En Route to Arrived and then Completed as the physical work occurs. Record a Missed stop when the planned handoff does not happen and explain the follow-up in the load evidence.

    • Record actual stop progress
    • Updates Load stops
  3. Capture the proof Delivery Coordinator

Delivery Coordinator records the delivered time and receiver against the load and stop. Retain the signature reference and related document where available, leaving the proof Captured for checking.

    • Retain Captured confirmation
    • Updates Proof of delivery, Record attachments
  4. Check the confirmation Delivery Coordinator

Delivery Coordinator compares the proof with the actual receiving location and marks it Verified or Disputed. Resolve a disputed receiver or delivery time with the operational team before using it to support completion.

    • Mark proof Verified or Disputed
    • Updates Proof of delivery, Load stops
  5. Reconcile execution Dispatcher and Transport Manager

Dispatcher checks completed stops and delivery evidence, then records the load as Executed and the assignment as Completed. Transport Manager verifies the operational receipt for that completion. Settlement Clerk uses the reconciled evidence when preparing the driver statement.

    • Reconcile Executed and Completed work
    • Updates Loads, Load assignments, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • An arrival at a service stop is mistaken for the final delivery.
  • A signature belongs to the correct customer but the wrong load or receiving location.
  • A late tracking event is read as a new physical movement rather than delayed reporting.
