Load planning to dispatch

Prepare load stops and assign eligible transport capacity while preserving existing commitments.

Step by step

  1. Prepare the load Dispatcher

Dispatcher records the operating organization, counterparty and delivery promise, along with the freight amount and planned travel dates. Check the requested units and equipment description against the work being arranged.

    • Establish the transport request
    • Updates Loads, Organizations, Transport partners
  2. Review the planned stops Dispatcher

Planning moves the Draft load to Planned and creates sequenced pickup and delivery stops. Dispatcher checks the stop details and follows up any lane labeled Lane not specified before using the plan for dispatch.

    • Check planned work and stop sequence
    • Updates Loads, Load stops
  3. Check resource information Fleet Coordinator or Dispatcher

Fleet Coordinator reviews driver and vehicle status with Dispatcher. Assignment uses active, available drivers and active, available trucks. Existing Assigned or Active commitments exclude those resources from another selection.

    • Identify eligible capacity
    • Updates Drivers, Vehicles, Load assignments
  4. Dispatch the load Dispatcher

Dispatcher moves the ready load to Dispatched. Assignment skips a load already carrying Assigned or Active work and records a starting revision for the new assignment. Dispatcher investigates the escalation if eligible capacity is unavailable.

    • Assign capacity or investigate escalation
    • Updates Loads, Load assignments, Review decisions
  5. Hand over execution Dispatcher

Dispatcher checks the assignment and stop windows with the receiving shift. Link any trailer visit to the load and identify the registered trailer there, keeping the truck commitment and trailer visit understandable to both teams.

    • Connect dispatch and yard work
    • Updates Load assignments, Load stops, Trailer visits

Where it usually breaks

And how to keep it from happening.

  • Availability information is stale when dispatch begins.
  • A truck or driver already on active work is requested again.
  • A trailer asset is confused with the truck required by assignment.
  • A load with an existing commitment receives another dispatch attempt.
