Contract review to renewal

Review rate terms and keep approaching contract endings in an actionable worklist.

Step by step

  1. Prepare the carrier agreement Logistics Manager

Logistics Manager coordinates the authorized setup account for carrier records, carrier service records and lane records. Check carrier service modes and the ZIP-prefix lane against the actual rate sheet. Transportation Planner reads the planning reference data without acquiring edit rights.

    • Carrier and lane inputs reconciled to the source sheet
    • Updates Carriers 2, Carrier services 2, Lanes 2
  2. Review the draft terms Logistics Manager

Logistics Manager reviews the draft agreement, its start and end dates, currency, fuel surcharge percentage and minimum charge, together with rate bands and contracted accessorial ceilings. The agreed setup procedure records the decision through the approver and approval date before Draft becomes Active. Agree who can activate the reviewed terms, then check the resulting agreement on a pilot shipment.

    • Contract decision recorded before operational activation
    • Updates Rate contracts 2, Rate matrix 2, Accessorial rates 2
  3. Rehearse the applied rate Transportation Planner

Transportation Planner creates a representative shipment. Rate Shop On Shipment Create should identify a matching active agreement and write applied rate contract and cost. Compare the result with the reviewed agreement and charge evidence; review the actual price calculation before using the agreement on more shipments.

    • Shipment price compared with the reviewed agreement
    • Updates Shipments 2, Rate contracts 2, Rate matrix 2
  4. Review approaching term end Logistics Manager

Logistics Manager compares active term end dates with renewal reminders. The reminder record can hold days left, trailing twelve-month spend, status and notes. Choose the reminder schedule and notification connection during setup. Compare the resulting worklist with actual contract endings.

    • Expiry and follow-up gaps identified
    • Updates Rate contracts 2, Renewal reminders
  5. Record the follow-up Logistics Manager

Logistics Manager coordinates the contract decision and records Renewed or Dropped on the reminder when the follow-up is handled. A reminder marked Renewed does not itself extend term end or activate replacement rates. Confirm the actual agreement used by the next shipment and retain the prior contract's invoice context.

    • Renewal outcome and actual rate term checked
    • Updates Rate contracts 2, Renewal reminders

Where it usually breaks

And how to keep it from happening.

  • Rate-sheet inputs are mapped differently between imports and the rate-shop.
  • A Draft agreement is treated as already available for shipment rating.
  • A reminder's status is mistaken for an activated replacement contract.
  • The team relies on reminder email before testing its delivery.
  • Renewed terms erase the basis needed to explain an older carrier invoice.
