Rating to carrier response

Check a contract-based offer and retain the carrier decision with the shipment.

Step by step

  1. Prepare the freight Transportation Planner

Transportation Planner creates shipment records in Planned with mode, addresses, weight in pounds and freight class. Confirm the freight details against the packing documents and the agreed lane. Compare the shipment with the bill of lading before requesting the rate.

    • Planned shipment contains rateable cargo and lane inputs
    • Updates Shipments 2
  2. Review the rate Transportation Planner

Rate Shop On Shipment Create matches active agreements and ZIP-prefix lanes, reads the applicable rate band and adds contracted accessorials and fuel surcharge. Transportation Planner checks assigned carrier, service level, applied rate contract and cost. No match leaves the shipment unchanged and records a reason in the EDI message log with message type Other.

    • Applied carrier price or a recorded no-match reason
    • Updates Shipments 2, Rate contracts 2, Rate matrix 2, Accessorial rates 2, Lanes 2, EDI messages 2
  3. Tender the movement Transportation Planner or Dispatcher/Ops

Transportation Planner changes Planned to Tendered. Tender To Carrier creates a tender record with the assigned carrier and an outbound EDI 204 record. Dispatcher/Ops checks outbound message link and tender round. Missing carrier prerequisites are skipped and logged. Confirm the receiving carrier's acknowledgment through the agreed connection.

    • Tender attempt and linked outbound message retained
    • Updates Shipments 2, Tendering 2, EDI messages 2
  4. Decide the offer Carrier User

Carrier User accepts, rejects or counters the freight offer through response. Tender Acceptance Tracking stamps response time, logs the inbound EDI 990 response and advances an accepted shipment to Accepted with the tendered carrier. An Accepted response is the carrier's decision; a Pending tender response is still awaiting it.

    • Carrier response and applicable shipment update recorded
    • Updates Tendering 2, Shipments 2, EDI messages 2
ApprovalA person approves before the work moves on.
  5. Follow the unresolved outcome Dispatcher/Ops

Dispatcher/Ops examines reject reason or counteroffer amount. A rejection returns the shipment to Planned and conditionally clears the rejecting carrier. A counteroffer needs a reviewed commercial decision before another offer. Transportation Planner reviews the next offer before tendering it.

    • Rejection or counteroffer followed up
    • Updates Tendering 2, Shipments 2

Where it usually breaks

And how to keep it from happening.

  • The shipment weight or ZIP differs from the packing documents or lane agreement.
  • Tendered is selected before a carrier has been assigned.
  • A local EDI record is mistaken for an acknowledged carrier request.
  • A rejected earlier offer clears a different current carrier without checking identity.
  • Carrier contacts receive access before the team tests which freight they can see.
