Tracking to delivery evidence

Advance shipment milestones and review the recipient evidence without overwriting history.

Step by step

  1. Record the movement event Dispatcher/Ops

Dispatcher/Ops reviews tracking events with shipment, event type and timestamp. Retain notes, raw payload and tracking provider when available. Verify the provider's actual connection before expecting a live feed; the event can also be entered through the operational record path.

    • Source event retained with shipment and time
    • Updates Tracking events 2, Tracking providers 2
  2. Apply the milestone Dispatcher/Ops

Shipment Milestone Update From Tracking Feed advances shipment records through the forward lifecycle. It fills an empty actual pickup time or actual delivery time from the event time, skipping and logging a stamp that contradicts the opposing milestone. Dispatcher/Ops compares the result with the movement evidence. Held, Returned and Exception events do not independently advance this lifecycle.

    • Forward status and valid missing milestone date applied
    • Updates Tracking events 2, Shipments 2
  3. Investigate an exception Dispatcher/Ops or Logistics Manager

Shipment Exception Alert creates exception records from Exception tracking events. Dispatcher/Ops checks the inferred exception type and severity and records the real operational follow-up. Logistics Manager handles escalation. Confirm the recorded assignee so the responsible person receives the handoff.

    • Operational issue and resolution evidence maintained
    • Updates Exceptions 2, Shipments 2
  4. Collect delivery evidence Dispatcher/Ops

Pod Collection handles a Delivered event, retaining a proof-of-delivery record keyed on shipment and delivery time. It advances the shipment to Delivered and fills actual delivery time only if empty. Dispatcher/Ops checks the recipient and supplies the required document links through the configured upload path.

    • Event-linked delivery record and document evidence retained
    • Updates Proof of delivery 2, Shipments 2, Tracking events 2
  5. Review the captured proof Dispatcher/Ops

Dispatcher/Ops reviews the recipient and documents before applying the agreed Captured-to-Verified review. Missing or conflicting evidence needs follow-up, with Disputed available for an unresolved outcome. Receiving / Customer can inspect the permitted records but is read-only. Agree the verifier and required documents during setup, then rehearse the review on an actual delivery.

    • Captured evidence receives the configured review outcome
    • Updates Proof of delivery 2

Where it usually breaks

And how to keep it from happening.

  • An older event moves the shipment backwards or overwrites an existing milestone.
  • A conflicting event date is silently accepted despite the documented timestamp check.
  • Delivered is treated as complete proof while signature or recipient evidence is missing.
  • An unreadable document link is accepted without opening its target.
  • A customer account is expected to verify a record it has no permission to edit.
