How a Travel & Expense Management rollout works
Start with one supplier expense cycle and prove the review and payment handoffs.
Set the owners
Choose the organization, Expense Preparer, Expense Reviewer, Treasury Analyst, Staff Accountant and Controller for the pilot.
Prepare references
Clean supplier names, ledger accounts and the accounting period before entering expenses.
Run a report
Enter a supplier expense report with coded lines, submit it and make the reviewer decision through the approval action.
Follow money
Schedule a linked reimbursement, record its release action, then obtain the actual bank result and reference.
Check accounting
Review journal coding, period and balances, along with any partner document in the same cycle.
Rehearse failure
Return a report for correction and inspect one failed operation from Operations Overview.
What the customer provides
Provide the organization list, supplier and partner identities, account codes, period calendar, approval owners and payment methods. Bring a representative report with its line descriptions and amounts. Identify the bank or payment system that will provide the final outcome. Decide who can see supporting attachments and who resolves exceptions.
Changing it afterwards
Revisit authority and coding when the organization or payment method changes. Keep old decisions and operation receipts available when correcting an amount, payee or period. Add another organization only after the team can trace a full cycle in the first one. Use roles and data model to review the change.
