What you can do
Trace a decision to its source record
Review evidence connects an operating action with the person and result recorded for it. A review decisions record captures the subject, decision, reviewer, date and conditions. Operation receipts captures the operation type, actor, time, result and reference to output. Record attachments keeps supporting files linked to a parent record and identifies who uploaded them.
How the work is organized
- Inspect the request. Controller starts with the payment request and the amount being decided.
- Read the decision. The decision record identifies the reviewer and whether the outcome was Approved, Rejected or Returned.
- Trace execution. The operation receipt shows whether the related action Succeeded, Failed, Partial or Skipped.
What to agree during setup
Decide who can act as a reviewer and how the team will use the approval limit recorded for each team member. Agree which documents support a payment request, invoice or bank match. Keep attachment links and parent identifiers consistent so a person opening the source record can find the relevant file. Define how the team investigates a failed operation receipt without changing the historical result to Succeeded.
Check the handoff on an actual case
Use a pending payment request for a professional-services counterparty. Controller checks its lines, total and due date before using the approval action. The request becomes Approved; a review decisions record and an operation receipts record appear for the action. Compare their subject reference, reviewer or actor, time and result. A later scheduled payment should remain distinguishable from this approval decision.
For a second case, inspect an Invoice Send receipt after AR Specialist sends a draft invoice. Confirm that the invoice changed to Sent and that the operation result is available to the team. Attach the related document and check that its parent table and record identifier lead back to the intended source. Review the failure path as well: a failed result needs investigation and must not be presented as a completed business outcome.
Start with the request number or invoice number, then compare it with the reference on the receipt. A receipt result describes the configured action; the later bank result lives on the payment record. Controller should also verify that an attachment’s parent identifier points to the intended record before relying on its file as support for a decision.
What your team sees
- Operations Overview — See decisions awaiting review, failed operations and the exception queue in one scope.
- Payments Awaiting Bank Reconciliation — Trace a Released payment to its release receipt and bank follow-up.
- AR Invoice Register — Inspect an invoice and its recorded send result.
Follow the work through
See the related process for the operating sequence. Use the data model to map source identifiers before import and implementation to rehearse the handoff with your team.
