Submission to confirmed settlement

Submit an authorized instruction to the bank once, hold uncertain outcomes for review and confirm only on verified evidence.

Step by step

  1. Submit to the bank Settlement Officer

Settlement Officer submits the authorized instruction under one stable operation key and records the bank's instruction identifier. The instruction moves to Submitted.

    • Authorized → Submitted; provider instruction ID recorded
    • Updates Bank instructions, Operation receipts
  2. Hold if uncertain Settlement Officer

If the bank's response is lost, the instruction is held as Pending with a receipt marked for review. It is not resubmitted automatically; the officer establishes with the bank what happened.

    • Submitted → Pending; receipt needs review
    • Updates Bank instructions, Operation receipts
  3. Receive evidence Settlement Officer

Statements, confirmations, settlement advices and corrections arrive as evidence lines with the provider's event identifier, date and amount.

    • Evidence lines added by provider event ID
    • Updates Bank evidence
  4. Confirm on verified evidence Settlement Officer

The officer verifies the settlement or confirmation evidence and the instruction moves to Confirmed with its confirmation date. A rejection from the bank moves it to Rejected.

    • Pending → Confirmed with confirmed at, or Rejected
    • Updates Bank instructions, Bank evidence

Where it usually breaks

And how to keep it from happening.

  • A timed-out payment is resubmitted and the bank pays twice.
  • The same statement line is loaded twice and counted twice.
  • An instruction is confirmed on the desk's own note instead of the bank's evidence.
