Delivery and proof

Record actual stop activity and delivery evidence while preserving the original promise.

Step by step

  1. Follow the ordered stops Dispatcher

Dispatcher uses the stop sequence and appointment windows to follow the load after dispatch. Record actual arrival and departure as the operating team confirms them. Keep a delay visible without changing the original appointment to fit the outcome.

    • Record actual stop progress
    • Updates Loads, Load stops
  2. Collect delivery evidence Dispatcher

Dispatcher checks the proof reference for the delivery stop and attaches the supporting document to the load. Warehouse Coordinator contributes relevant custody evidence. Choose the attachment visibility according to the agreed sharing rule.

    • Connect proof to the correct load
    • Updates Load stops, Record attachments, Loading handoffs
  3. Record actual delivery Dispatcher

Dispatcher records the actual delivery time under the agreed completion rule, then moves the in-transit load to Delivered. Keep the original promise available for comparison. Delivery records do not establish carrier invoice settlement.

    • Record delivery and its action outcome
    • Updates Loads, Operation receipts
  4. Complete the assignment Dispatcher

Dispatcher reconciles the assignment with the completed movement before marking it Completed. If the job overran its committed interval, review other work using the same driver or vehicle instead of hiding the overrun by changing the delivery evidence.

    • Reconcile the resource commitment
    • Updates Load assignments, Loads
  5. Verify the outcome Operations Analyst

Operations Analyst compares the complete-delivery receipt with the load and proof. Investigate an absent file, an incorrect parent load or an unresolved action outcome. Retain the original evidence when a correction needs Transport Supervisor review.

    • Identify completion discrepancies
    • Updates Operation receipts, Record attachments, Loads

Where it usually breaks

And how to keep it from happening.

  • Arrival at the gate is recorded as final delivery even though the agreed completion event has not occurred.
  • A document is attached to a similar load number and the mistake is missed during completion.
  • A later promise is substituted for the original commitment, changing the apparent delivery result.
