Exception reconciliation

Investigate uncertain outcomes, review corrections and preserve the original load evidence.

Step by step

  1. Identify the discrepancy Operations Analyst

Operations Analyst finds a failed or unresolved operation receipt and reads its action, expected revision, effect references and failure reason. Dispatcher provides the current load and physical movement context before anyone decides to repeat an action.

    • Establish the uncertain action and current context
    • Updates Operation receipts, Loads
  2. Check existing effects Operations Analyst

Operations Analyst compares the receipt with linked local records. The reconciliation sweep checks first and keeps unresolved results marked for review. Obtain confirmation from the authoritative external source when the local record cannot establish the outcome.

    • Compare linked effects without repeating work
    • Updates Operation receipts, Loads, Load assignments
  3. Review the correction Transport Supervisor

Transport Supervisor independently approves, rejects or returns the proposed correction against the current load revision. Record a reason that explains the allowed scope. Keep the earlier decision and execution evidence available to the reviewer.

    • Authorize the current correction scope
    • Updates Review decisions, Loads, Record attachments
ApprovalA person approves before the work moves on.
  4. Apply authorized follow-up Dispatcher

Dispatcher cancels only unexecuted scope or carries out the reviewed correction. Retain a compensating operation receipt with the original evidence. An external effect requires its own authorized handling; reconciliation does not reverse it automatically.

    • Record the bounded correction or cancellation
    • Updates Loads, Load assignments, Operation receipts
  5. Verify resolution Operations Analyst

Operations Analyst checks the resulting local records against confirmed effects. Leave an unresolved discrepancy visible until its authoritative outcome is established. A successful transport response or a revised status alone is insufficient to explain a disputed physical event.

    • Retain confirmation or the unresolved discrepancy
    • Updates Operation receipts, Record attachments, Loads

Where it usually breaks

And how to keep it from happening.

  • A timeout is treated as proof that nothing happened, prompting duplicate work.
  • Cancelling a load hides a pickup that already occurred.
  • A reviewer approves a correction using evidence from an older load revision.
