Plan and assign a load

Prepare stop windows and check the driver and vehicle before confirming their committed interval.

Step by step

  1. Prepare the load Dispatcher

Dispatcher records the load number, subject, organization, transport partner and original delivery promise. Keep the freight amount in USD. Check the source request before creating another load with the same business identity.

    • Establish the original commitment
    • Updates Loads, Organizations, Transport partners
  2. Arrange the stops Dispatcher

Dispatcher records pickup and delivery addresses in sequence with their appointment windows. Check the operating time zone and the expected interval with the warehouse. Marking the load Planned begins preparation for release; it does not settle resource feasibility.

    • Record the plan and stop windows
    • Updates Loads, Load stops, Operation receipts
  3. Check resources Fleet Coordinator

Fleet Coordinator supplies driver eligibility and vehicle readiness evidence. Dispatcher checks the active driver, eligibility through the assignment and the equipment class required for the load. Review defect and repair evidence before using a vehicle whose readiness has changed.

    • Review eligibility and readiness
    • Updates Drivers, Vehicles, Vehicle defects
  4. Compare intervals Dispatcher

Dispatcher checks other held, confirmed and dispatched assignments using the same driver or vehicle. Resolve overlaps before confirming the start and end. Where a prior job is running late, check its actual position with the operating team before committing the next load.

    • Confirm a feasible resource interval
    • Updates Load assignments
  5. Request dispatch review Dispatcher

Dispatcher presents the current plan and resource evidence to Transport Supervisor. Keep any unresolved conflict visible. The independent dispatch decision follows in the release process; requesting review does not grant approval.

    • Present current scope and evidence
    • Updates Loads, Load assignments, Record attachments

Where it usually breaks

And how to keep it from happening.

  • A promised delivery time is replaced with a later estimate, concealing the original commitment.
  • A driver is eligible at assignment start but expires before the planned work ends.
  • The same vehicle is confirmed for overlapping loads because each dispatcher inspected only their own work.
