Review and dispatch

Record the independent decision on the current load before release and actual pickup.

Step by step

  1. Present the current load Dispatcher

Dispatcher checks the prepared stops and confirmed resource interval. Give Transport Supervisor the current revision and supporting eligibility, readiness and assignment evidence. A changed driver or vehicle needs the current request to be reviewed.

    • Assemble current release evidence
    • Updates Loads, Load assignments, Record attachments
  2. Approve dispatch Transport Supervisor

Transport Supervisor independently approves, rejects or returns the request. Record the reviewer, decision time and reason against the same load revision. An approval authorizes only the scope examined; it cannot be reused after a material correction.

    • Record the independent decision
    • Updates Review decisions, Loads
ApprovalA person approves before the work moves on.
  3. Confirm the custody evidence Warehouse Coordinator

Warehouse Coordinator completes the applicable loading handoff after its review and actual transfer. Dispatcher checks the named driver against the assignment and resolves differences before treating the load as ready to move.

    • Check actual warehouse handover
    • Updates Loading handoffs, Load assignments
  4. Record pickup Dispatcher

Dispatcher records the actual physical pickup time and the dispatch action outcome. Advance the load from Planned to Dispatched and the assignment from Confirmed to Dispatched only for the authorized movement. Keep the original promised delivery time unchanged.

    • Record physical departure and action outcome
    • Updates Loads, Load assignments, Operation receipts
  5. Monitor the journey Dispatcher

Dispatcher records progress through the ordered stops and follows the load into transit. Operations Analyst investigates any failed action receipt before the team repeats work. A status change needs the underlying movement evidence to remain explainable to the next shift.

    • Follow stop progress and investigate failures
    • Updates Load stops, Loads, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • An assignment changes after approval, but the release still relies on the earlier revision.
  • Warehouse approval is mistaken for completed physical handover.
  • A failed response prompts another dispatch request before anyone checks the existing action outcome.
