Warehouse custody handoff

Prepare and review the warehouse record before confirming the driver took custody.

Step by step

  1. Prepare the handoff Warehouse Coordinator

Warehouse Coordinator selects the load and organization, names the warehouse and driver, and records the pallet count from loading evidence. Keep the handoff in Draft while the loading team checks any difference.

    • Prepare the warehouse custody record
    • Updates Loading handoffs, Loads, Organizations
  2. Submit for review Warehouse Coordinator

Warehouse Coordinator submits the prepared revision. Confirm that the driver named at the loading point agrees with the driver assigned to the load. Preserve the evidence supporting the submitted pallet count.

    • Present the current handoff evidence
    • Updates Loading handoffs, Load assignments, Record attachments
  3. Decide the handoff Transport Supervisor

Transport Supervisor checks the current handoff and approves or rejects it. Retain the decision time and the reason in the load's review context. A changed count or driver requires another review of the current scope before completion.

    • Record approval or rejection
    • Updates Loading handoffs, Review decisions
ApprovalA person approves before the work moves on.
  4. Confirm physical custody Warehouse Coordinator

Warehouse Coordinator records the actual handover time after the driver accepts the load. Complete the approved handoff at that point. Approval and physical transfer remain distinct events even when they happen close together.

    • Record actual handover and completion
    • Updates Loading handoffs
  5. Pass the evidence to dispatch Dispatcher

Dispatcher compares the completed handoff with the resource assignment and pickup evidence. Investigate an unexplained difference before carrying it into delivery reporting. Keep the handoff attached to its original load throughout correction.

    • Reconcile custody with pickup
    • Updates Loading handoffs, Loads, Load assignments

Where it usually breaks

And how to keep it from happening.

  • A driver substitution is reflected in the assignment but overlooked on the warehouse record.
  • A pallet difference is discovered after submission and concealed by editing the reviewed count.
  • An approved handoff is marked completed before the goods change custody.
