Agreement and order control

Review supplier terms and approved spend before an order is issued or changed.

Step by step

  1. Set the commercial basis Buyer

Buyer records an agreement with supplier, period and commitment or identifies an active contract rate for an item.

    • Names dates, prices and supplier
    • Updates Master agreements, Contract rates
  2. Review the commitment Approver

Procurement Manager and Approver review the agreement's scope and approval path. Controller checks the amount against current commitments.

    • Preserves decision and amount
    • Updates Approval steps, Spend approvals
ApprovalA person approves before the work moves on.
  3. Prepare the order Buyer

Buyer adds lines, delivery location, payment and freight terms, need-by dates and the linked sourcing authority.

    • Captures order terms and line scope
    • Updates Purchase orders, PO line items
  4. Approve the revision Approver

Approver decides the exact order revision and routed amount through the assigned approval step. The approved identity and source revision are retained.

    • Records approval and committed amount
    • Updates Approval steps, Spend approvals, Commitment allocations
ApprovalA person approves before the work moves on.
  5. Issue and acknowledge Buyer

Buyer sends the approved order; the supplier acknowledges the issued revision. The order's status records the change.

    • Retains issued and delivery evidence
    • Updates Purchase orders, Integration deliveries
  6. Control a change Buyer

Buyer records a proposed amendment with before-and-after line values. A changed commitment is reviewed before the revised terms apply.

    • Preserves proposed and applied revision
    • Updates PO amendments, PO amendment lines
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • A price rate is current today but expired on the planned order date. Compare the effective window with the order date.
  • A release exceeds the agreement's remaining commitment. Inspect consumption before the next order is issued.
  • A buyer changes a line after approval. Treat the new revision as a change request with its own decision.
  • An outbound delivery is sent but has no acknowledgement. Review the delivery outbox rather than assuming the destination received the order.
