Supplier qualification

Review supplier identity, category requirements and dated evidence before a status decision.

Step by step

  1. Open a supplier Buyer

Buyer records the legal vendor, addresses, default terms and primary contact. The vendor begins in Onboarding so the review has a clear queue.

    • Creates identity and communication details
    • Updates Vendors, Vendor contacts
  2. Check identity and terms Procurement Manager

Procurement Manager reviews vendor code, legal name, EIN and W-9 flag. A parent company can be linked while the contracting entity keeps its own vendor record.

    • Confirms the legal supplier and payment defaults
    • Updates Vendors
  3. Check category evidence Procurement Manager

Buyer identifies the category for the planned purchase. Procurement Manager checks each relevant certificate's type, scope and dates against that category's requirements.

    • Links required qualification to dated evidence
    • Updates Categories, Certifications
  4. Decide status Procurement Manager

Procurement Manager approves an eligible supplier's move to Active and records the person, date and reason. A Suspended or Blocked supplier needs its own reviewed decision; an onboarding action is not a substitute.

    • Records the decision and status history
    • Updates Vendors, Procurement events
ApprovalA person approves before the work moves on.
  5. Prepare purchasing use Buyer

Buyer confirms a current contact and reads preferred status, commercial terms and qualification before sending a new invitation or order.

    • Uses the reviewed supplier record
    • Updates RFQ invited vendors, Purchase orders

Where it usually breaks

And how to keep it from happening.

  • An apparently current certificate covers another site or activity. Read the scope as well as the expiration date before deciding.
  • The W-9 flag is checked for a different legal entity. Compare the vendor record with the contracting name and address.
  • A primary contact is inactive. Confirm the recipient before sending RFQ or order information.
  • A supplier is marked Suspended after an order is issued. Review the open obligation separately from any proposal for new spend.
Buyer
Prepares supplier details; Procurement Manager decides qualification and status; Supplier maintains its own contact and evidence; Controller reads the resulting purchasing exposure.
