Admit, document and review a visit

A scheduled visit becomes care only after the patient context and clinical authority have been checked. Coordinator prepares the admission, Veterinarian documents the work and Clinical Reviewer decides whether the encounter can complete. Use this sequence for the non-emergency path and agree any emergency procedure separately with the clinical owner.

Step by step

  1. Resolve the scheduled visit Coordinator

Coordinator selects the intended encounters record with status Scheduled, confirms the patient and clinician, and checks visit type. The clinician must resolve through the staff member's linked user account. A matching name or an appointment date alone does not establish the right person or patient.

    • Confirm patient and acting identity
    • Updates Encounters, Patients, People, Users
  2. Check consent and access Coordinator

Coordinator resolves a Signed consent record for the patient and intended purpose. Check the applicable clinical privilege and Active care-team assignments coverage before admission. Missing or withdrawn consent, an unresolved identity or unprivileged clinician blocks the non-emergency command rather than permitting care to continue.

    • Permit or block non-emergency admission
    • Updates Consents, Clinical privileges, Care team assignments
  3. Admit and document Veterinarian

A permitted admission moves encounters from Scheduled to Arrived. Veterinarian begins care with the encounter in progress, records clinical notes against encounter and author, and signs completed documentation with signed date. Observations retain the measured metric, value, unit, observation date and recording clinician. Undocumented care must not pass the workflow's required handoff.

    • Record Arrived and in progress care with attributed documentation
    • Updates Encounters, Clinical notes, Observations
  4. Approve encounter completion Clinical Reviewer

Veterinarian hands the encounter to awaiting review. Clinical Reviewer uses effective Review authority and permitted patient scope to inspect the clinical evidence and approves the move to Completed. Capturing an animal vaccination, entering an end date or finishing a draft note does not replace this decision.

    • Decide awaiting review to Completed
    • Updates Encounters, Clinical notes, Observations, Clinical privileges
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • The patient consent summary is treated as if it were the purpose-specific signed document. Inspect the consent purpose, version and validity instead.
  • An assigned clinician lacks a linked user account that resolves to the assignee or effective care-team coverage. Correct the supporting context before retrying admission.
  • Draft notes are mistaken for completed documentation. Check the actual signed state and attribution before review.
  • A completion-looking date is used to bypass the licensed review. Leave the encounter in its true working state until the reviewer decides.
