Capture an animal against its encounter

Animal registration connects recognizable pet details to the encounter supplying patient and clinician context. Coordinator resolves the visit, then Veterinarian uses the animal capture workflow under effective clinical authority. The workflow validates the whole command before saving, so a partially understood reference is a reason to stop and correct the input.

Step by step

  1. Prepare the encounter reference Coordinator

Coordinator resolves the intended encounters record and confirms its patient and clinician. The animal's encounter reference must point to this encounter. Check the visit context when an owner brings animals with similar names, because owner name and pet name are descriptive text rather than separate account identities.

    • Establish the correct operational context
    • Updates Encounters, Patients, People
  2. Confirm the acting clinician Veterinarian

Veterinarian submits through the validated capture path. The workflow resolves the permitted clinician and enforces Verified Clinical Privileges and Active care-team assignments coverage. Resolve the actor through the staff member's linked user account and the encounter's patient context. Staff familiarity cannot substitute for the required reference and authority.

    • Resolve identity and clinical authority
    • Updates People, Users, Clinical privileges, Care team assignments
  3. Validate the animal details Veterinarian

Capture owner name, pet name, species, breed and birth date from the source information available to the practice. The animal capture workflow rejects a missing required reference or domain value as a whole command. Agree the required capture information during setup and rehearse rejection when it is missing, so staff can correct incomplete input before handing it on.

    • Accept complete input or reject the command
    • Updates Animal patients, Encounters
  4. Save and inspect attribution Veterinarian

The permitted command saves the validated animal registration and retains workflow-managed immutable signed evidence. Veterinarian checks the saved operational encounter reference and animal identity before using the animal for vaccination capture. Review the captured clinician attribution and the signed evidence with Clinical Reviewer before handing the record into further care.

    • Save the attributed animal registration
    • Updates Animal patients

Where it usually breaks

And how to keep it from happening.

  • The animal is linked to another visit because staff chose by owner name alone. Check operational encounter reference before capture.
  • A clinician's care-team assignment has ended while their name remains on the staff register. The workflow must still reject unauthorized capture.
  • Missing animal information is bypassed to create a partial record. Correct the input and resubmit through the validated path.
