Capture and validate a vaccination event

A recorded vaccination must belong to the intended animal and attending veterinarian on the administration date. The vaccination capture workflow resolves the animal and operational encounter, checks effective clinical authority, validates the domain inputs and saves the attributed event. The next due date gives the care team a date to review and an owner-contact action to assign.

Step by step

  1. Resolve the animal and encounter Veterinarian

Veterinarian selects the vaccination's animal reference from animal patient records and checks its operational encounter reference. Follow that reference to encounters and its patient context. Confirm the owner and pet details before proceeding, particularly when animal names are similar or the owner has attended previously.

    • Establish the intended animal and patient context
    • Updates Animal vaccinations, Animal patients, Encounters
  2. Check authority on the administered date Veterinarian

Resolve Veterinarian through staff records and its user identity. The workflow requires Verified Clinical Privileges and Active care-team assignments coverage on administered date. Today's access is insufficient to prove authority for a historical administration; check the effective interval for the actual event date.

    • Permit or reject date-specific clinical action
    • Updates People, Users, Clinical privileges, Care team assignments
  3. Validate vaccine and date details Veterinarian

Enter vaccine name, lot number, administered date and next due date. The workflow rejects missing required reference or domain values and an impossible date interval. A next due date before the administration date must fail the command. Check the administration details against the source clinical record before submission.

    • Reject incomplete input or an impossible interval
    • Updates Animal vaccinations
  4. Save the attributed event Veterinarian

The workflow saves the validated vaccination record with the veterinarian attribution. Inspect the saved animal and veterinarian references with the recorded dates. Veterinarian can then review the event in the due queue as next due date approaches or arrives, subject to the permitted patient scope.

    • Retain the validated administration and due date
    • Updates Animal vaccinations

Where it usually breaks

And how to keep it from happening.

  • A recorded Veterinarian lacks effective clinical authority on administered date. Review the dated coverage before retrying.
  • Next due date is copied from an unrelated event or precedes administration. Validate the interval against the source record.
  • A text match is used instead of the Animal reference, leaving the intended encounter unresolved. Resolve the actual animal record first.
  • A due vaccination still needs an owner-contact action. Assign that action to the responsible person and record its outcome through the practice's chosen channel.
