Correction and reconciliation

Resolve changed scope, uncertain receipts and freight differences with a traceable decision.

Step by step

  1. Identify the difference Evidence Coordinator

Evidence Coordinator compares the load with its delivery proof, operational receipts and freight charges. Read the receipt's result alongside its review status. Keep a failed result or one needing review visible with the external reference and failure reason.

    • Unresolved outcome identified
    • Updates Operation receipts, Proof of delivery, Freight charges, Loads
  2. Review changed scope Transport Supervisor

Load Planner explains a requested cancellation or correction. Transport Supervisor reviews the affected revision and records the rationale with Approve, Reject, Return or Escalated as appropriate. Changed loading evidence goes through another loading decision.

    • Decision recorded against the affected revision
    • Updates Review decisions, Loads, Load checks
ApprovalA person approves before the work moves on.
  3. Record the accepted correction Dispatch Coordinator

Dispatch Coordinator updates the relevant operational records. A cancelled planned load and its confirmed assignment become Cancelled; a disrupted journey may become Exception while the next action is resolved. Preserve the earlier decision references and identify what changed.

    • Corrected scope remains linked to earlier evidence
    • Updates Loads, Load assignments, Load checks, Tracking events
  4. Verify the outcome Evidence Coordinator and Transport Supervisor

Evidence Coordinator compares the resulting evidence with the intended action. Corrected receipts retain the failure explanation, and verification follows review of the actual result. Transport Supervisor resolves outstanding discrepancies. Check freight amounts by currency and use the relevant invoice or payment evidence for charge status changes.

    • Evidence reviewed before verification
    • Updates Operation receipts, Record attachments, Freight charges

Where it usually breaks

And how to keep it from happening.

  • A missing response is treated as failure and the same external action is requested again without checking its outcome.
  • A changed quantity is carried forward under a decision that reviewed the earlier physical load.
  • Charges in different currencies are added together, or a Delivered load is assumed to establish payment.
