Dispatch to delivery

Record the departure, stop progress and delivery proof against the same load.

Step by step

  1. Record the handoff Dispatch Coordinator

Dispatch Coordinator compares the truck with its approved loading check and current assignment. Record the actual pickup and Departure event when the truck leaves. The load and assignment become Dispatched; the approved loading check becomes Completed after that handoff is recorded.

    • Departure recorded; load and assignment become Dispatched
    • Updates Loads, Load assignments, Load checks, Tracking events
  2. Follow the journey Dispatch Coordinator

Dispatch Coordinator records movement and takes the load into transit when supported by the observation. Keep reported events distinguishable from confirmed events. A delay needs its occurrence time and location so the next shift can understand its effect on the customer appointment.

    • In transit movement and exceptions recorded
    • Updates Loads, Tracking events
  3. Update the stops Dispatch Coordinator

Dispatch Coordinator records arrival and departure against the relevant pickup, delivery or service stop. Use Arrived and Completed for the physical stop progression. A missed visit remains visible and needs a revised operating decision rather than an assumed completion.

    • Actual arrivals and departures retained
    • Updates Load stops, Tracking events
  4. Capture delivery proof Evidence Coordinator and Dispatch Coordinator

Evidence Coordinator records the receiver, delivery time and signature reference against the actual load and stop. Dispatch Coordinator updates the delivered journey and completed assignment from the observed handoff. Review the Captured proof separately; use Disputed when the evidence needs investigation.

    • Delivery occurrence and evidence review tracked separately
    • Updates Proof of delivery, Loads, Load assignments, Record attachments

Where it usually breaks

And how to keep it from happening.

  • The loading approval time is copied into the departure record even though the truck left later.
  • A reported arrival is treated as final despite a conflicting update from the receiver.
  • Delivery proof references the pickup stop, making the signature impossible to reconcile with the customer handoff.
